A Guide From Domandata
Qualtrics vs REDCap for Academic Research
Written by Domandata, which makes a survey platform. We name our product where it fits and say where another tool fits better. Claims about other tools link to their own documentation, checked ; confirm anything decisive with the vendor or your institution.
Many universities license both Qualtrics and REDCap, so researchers often get to choose, and the choice matters more than it looks. The two tools were built for different jobs: Qualtrics as a general survey and experience-management platform, REDCap as a secure data-capture system for clinical and translational research.
This comparison covers where they differ in practice and which studies belong in each, and it points to other options when neither fits.
Where Qualtrics and REDCap differ
- 1
What each was built for
REDCap is a research database with survey capability: it centers on records, instruments, events, and audit trails. Qualtrics is a survey platform first, centered on questionnaires, logic, and distribution.
- 2
Regulated and health data
REDCap installations can be configured to support HIPAA and 21 CFR Part 11 requirements. Whether your Qualtrics license is approved for protected health information depends on your institution's agreement, so ask your IRB or compliance office.
- 3
Access
REDCap is free to non-profit consortium institutions and run by your institution's staff; there is no individual sign-up. Qualtrics is usually provided through an institutional license, with a limited free account for evaluation.
- 4
Study structure
REDCap handles longitudinal events, scheduling, and staff data entry about the same participant over time. Qualtrics handles respondent-completed surveys with branching, randomizers, and quotas.
- 5
Respondent experience
Qualtrics is designed around the self-administered survey, with extensive control over its look and flow. REDCap survey pages are designed around accurate data capture into a study record.
- 6
Exports
REDCap documents exports for SPSS, SAS, Stata, and R. Qualtrics documents CSV, Excel, and SPSS exports, which R and Stata can read.
When to use each, and what else to consider
Choose REDCap
Clinical or health studies, protected health information, longitudinal follow-up with scheduled events, data entered by research staff, or any study where an audit trail is required.
Choose Qualtrics
Self-administered surveys of the general public, online panels, survey experiments with randomizers and quotas, and studies where respondent-facing design matters.
Survey experiments without either license
For randomized survey experiments and conjoint when you lack a Qualtrics license. Domandata does not sign HIPAA Business Associate Agreements, so it is not a substitute for REDCap on health data.
Self-hosted or EU-hosted surveys
When your data-protection office requires data on your own servers or in the EU and neither institutional tool qualifies.
Timed behavioral tasks
Neither Qualtrics nor REDCap is designed for reaction-time paradigms; a dedicated experiment builder is.
Questions to settle before choosing
- Does the study collect protected health information?
- Which of the two is my IRB approved to use for this data?
- Will research staff enter data, or only respondents?
- Do I follow the same participants over scheduled time points?
- Do I need randomized conditions, quotas, or panel recruitment?
- Which export format does my analysis plan assume?
